Aspen Music Festival and School – Development Events Assistant - Summer 2019

The Development Events Assistant (2 positions) will provide administrative and logistical support to the six-member Development Department, which raises approximately 37% of the organization’s annual budget. The development department produces upwards of forty social, fundraising, and cultivation events in an eight–week summer festival season. The Development Events Assistant will take on significant responsibility in planning and executing these events. The position is an excellent opportunity for someone eager to learn about the inner workings of a strong development team, including experience in donor recognition and stewardship, with an emphasis on event planning and management.  

Responsibilities will include, but not be limited to:

  •  planning and execution, with supervision from Events Manager, of approximately half of forty events,   including a gala
  •  fielding calls from donors and other constituents, especially RSVPs for events, asking for meal and   seating preferences, and in coordinating delivery of auction items
  •  assisting with data entry in Raisers’ Edge, particularly in the Events Module
  •  assisting with promotion of events, including inclusion of events in AMFS e-newsletters
  •  assisting with donor recognition, cultivation, and stewardship
  •  assisting in fulfillment of corporate sponsorships
  •  coordinating with the Artistic, Operations, Student Services, and Communications Departments

More specifically, responsibilities related to donor cultivation events, special events, and benefits will include: managing guest lists, tracking payments, and processing of acknowledgment letters; communicating with operations and technical crew regarding set-up and A/V needs; assisting Manager of Events in communicating with caterers, florists, printers, and other vendors; managing beverage supply; staffing benefits and special events; attending board and committee meetings and taking minutes in meetings as requested; assisting with invitations/communications with donors; communicating with hosts when appropriate; and coordinating auction logistics.

Ideal candidates will:

  • be 21+ in order to pour alcohol, and be willing to take a TIPS certification course
  • be, at least, in the process of completing a bachelor’s degree
  • have a positive, can-do attitude, jumping in to help wherever needed, working well with a team, and working well in high-stress situations
  • be willing and able to work up to 60 hours/week during gala weeks
  • have experience planning and executing events and working with vendors, in a nonprofit arts or festival setting preferred
  • have experience communicating with event hosts, soliciting auction items, handling phone calls
  • be extremely detail oriented and organized
  • be familiar with the following software: Excel, Photoshop, and Social Tables
  • have experience working in CRM or donor databases, Raisers' Edge in particular
  • have at least a rudimentary knowledge of A/V basics
  • be able to lift up to 25+ lbs. (cases of wine)
  • have a personal vehicle for the duration of the summer (mandatory).

Note: a personal vehicle for the duration of the summer is required. 

Compensation: hourly wage less the cost of housing 

Duration of position: June 3 – August 23, 2019 - Start and end dates negotiable based on university schedules and department needs.
